Working Hours: Monday - Friday (8:30 AM - 5:30 PM) & Saturday morning, 8:30 AM - 12:00 PM
Location: Vietnam Representative Office - 61D, Street No. 2, Binh An Ward, District 2, HCMC.

Job Overview:
We are seeking A dynamic administrative role supporting both merchandising operations (50%) and accounting/administrative functions (50%), based at our main office reception. This position requires exceptional organizational abilities, meticulous attention to detail, and professional discretion.
Key Responsibilities:
1. Merchandising Support (50% of Role): Primary focus on merchandising team support and coordination:
- Manage comprehensive documentation including sample labelling and correct storage under ISO standards
- Facilitate communication between merchandising team and suppliers/factories for sample shipments
- Track and organize sample shipments efficiently
- Maintain departmental filing system and records
- Coordinate merchandising team, managers, and CEO meetings with factories
- Schedule and manage factory-related visits
- Revise shipping documents of samples and production
- Maintain correct filing system of official production orders and shipments documents
- Book courier shipments
2. Accounting & Administrative Support (50% of Role): Split between accounting tasks and general administration:
- Serve as primary reception point for office visitors
- Manage CEO‘s calendar and coordinate team schedules
- Handle confidential labor documentation and communications
- Act as liaison between CEO, accounting firm, and official administrators
- Process expense reports and administrative documentation
- Coordinate travel arrangements for team members and visiting partners
- Take and distribute meeting minutes
- Prepare accounting documents for external accounting team
Required Qualifications:
Qualifications
- Bachelor‘s degree preferred
- 3-5 years of administrative experience
- Professional fluency in English
- Advanced proficiency in MS Office Suite
- Strong accounting knowledge
