Job Description
1. Office Supplies and Related Equipment Management:
• Distribute office supplies, Personal Protective Equipment (PPE), toner cartridges, and other necessary items to employees.
• Monitor and ensure an adequate supply of office materials and toner cartridges to avoid work disruptions.
• Manage inventory of office supplies, uniforms, employee gifts, and other related materials; including stock checks, ordering supplies as needed, and distribution.
2. Mail and Shipment Management:
• Send, receive, and track incoming and outgoing mail/packages.
• Transport goods between locations, especially from BC to BD - GO and vice versa, including confirming Pass-out samples, notifying recipients, drivers, and relevant parties.
3. Administrative and Reception Support:
• Work with the reception team to welcome and guide visitors, providing safety shoes and PPE at the reception desk when necessary.
• Manage TV programs at the reception and canteen area, supporting the safety team in monitoring and implementation.
4. Document and Administrative Procedures Management:
• Assist employees with completing medical insurance, social insurance, Marsh cards, and related documentation.
• Print documents, camera permits, and locker cards, ensuring proper issuance and accuracy.
• Process Amex card applications for employees: complete forms, guide employees through the process, liaise with the bank, and send documents via courier.
5. Office Equipment Management and Maintenance:
• Manage and maintain Fuji Xerox printers, including checking and replacing necessary parts, and providing user guidance when needed.
• Assist housekeeping and maintenance teams as required.
6. HR Support and Employee Assistance:
• Provide ongoing support to the HR team with administrative tasks and human resources management.
• Ensure continuous support for employees, including managing uniforms, gifts, and other office essentials.
7. Logistics and 5S Office Management:
• Ensure office organization is neat and orderly, implementing and maintaining 5S standards.
• Manage lockers and laundry codes for employees, ensuring accuracy and proper use.
8. Special Tasks and Administrative Support:
• Perform special tasks, such as document translation, and other duties as assigned.
• Provide backup support for the admin team, up to 5 days per month.
Requirements:
• Basic communication in English or higher.
• Positive attitude, quick learner, and a passion for admin and support tasks.
• Preferably female candidates.
• Priority given to candidates from Binh Duong or nearby areas.
